THINKING OF HOSTING YOUR OWN LIVE EVENT?

Thinking of hosting your own live event but you don’t know where to begin? Here are some initial questions to think about that will help you get started.

  • What type of event will you hold? (e.g., conference, workshop, retreat, etc.)
  • When will you hold the event? (e.g., summer, fall, weekday, weekend, etc.)
  • What location will you host the event? (e.g. New York, Chicago, Dallas, etc.).
  • How many days will the event be?
  • What event tasks can you carry out and what tasks will you need to contract for services? (e.g., hire an event planner, marketing expert, virtual assistant to help with admin, etc.)
  • How much will the event cost you?
  • How will you pay for the event, or get others to help you? (e.g., sponsors)
  • What are you venue needs?
  • How many people to want to attend?
  • Who is your target audience?
  • What will you charge attendees to attend?
  • Will you serve food and beverage?
  • Will you need a room block for guests?
  • Will you need audiovisual?
  • Do you want to videotape the event?
  • Do you want a photographer?
  • Will you have speakers? Will you pay them or allow them to sell from the stage?
  • Do you want to get sponsors?
  • Will you have a VIP cocktail party?
  • Will you offer a VIP luncheon for an additional cost?
  • Are you giving a gift bag to each attendee?
  • How much staff will you need? (e.g., 2-3 people for 50 attendees, 3-4 for 100 attendees, etc.)
  • Will media be at the event?
  • Are you making an offer at the event? (e.g., 6 week coaching program, VIP day, etc.)
  • What is your priority for the event?
  • What worries you about doing this event? (e.g., people won’t come, not enough time, how to I pay for it, etc.)
  • What is the outcome or goal you want from the event?
  • What will be your measure of success for the event (e.g., number of participants, number of sales, etc.)?

This is not an exhaustive list of all the questions that might come up for planning an event but it’s a very good start. Once you have answered these questions you should have a clear understanding of what your event will look like. So now what?
