Stop Booking Clients Who Drain You: How to Design a Business Around the Work You Love

There’s a version of event planning that looks glamorous from the outside but feels exhausting from the inside, and it usually involves a full calendar of clients who weren’t the right fit from the start. One of the most powerful decisions you’ll ever make in your business is learning to say yes intentionally and no without apology. When you stop chasing every opportunity and start choosing the clients, projects, and partnerships that truly align with your values, expertise, and goals, your business becomes more sustainable, enjoyable, and profitable.

The Myth of ‘I’ll Pick and Choose Later’

It’s easy to tell yourself that you’ll be more selective once you’re established. But habits are built early, and the patterns you create in your first year tend to stick. If you start by saying yes to everything out of fear, saying no becomes harder every year.

The truth is you can begin making intentional decisions about your clients from day one, even if you’re just starting out. The key is getting clear early on what your dream business looks and feels like.

What ‘Draining’ Clients Actually Cost You

  • Your time – events that take twice as long as expected because of poor client communication
  • Your energy – emotional labor from difficult personalities that spills into every other area of your life
  • Your reputation – events that don’t reflect your best work because the client relationship was compromised
  • Your joy – the thing that made you want to do this in the first place

Design Your Business Around What Lights You Up

Take a moment to imagine your ideal week as a planner. What types of events are you working on? What kinds of conversations are you having? What is your client communication style like? What does the event day feel like?

Now work backwards. What types of clients create that experience? What do you need to communicate in your marketing to attract them? What do you need to ask in a consultation to identify them quickly?

Red Flags to Screen For Early

  • Clients who question every fee before they understand your value
  • Clients who can’t define what they want but know what they don’t want when they see it
  • Clients who want constant access without respecting your communication boundaries
  • Clients who involve too many decision-makers without a clear hierarchy

Permission to Say No

A client who isn’t the right fit is not a lost opportunity, it’s a preserved one. Every hour you spend on a draining client is an hour you could have spent on your dream client, building your portfolio, or recharging so you can do your best work.

Saying no to the wrong clients is one of the most professional things you can do. And the more confidently you do it, the more your reputation for excellence, and your premium rates, will follow.
