Why Trying to Work With Everyone Is Killing Your Event Planning Business

I hear it constantly from new planners: ‘I just need to get started, so I’ll take any client who comes my way.’ I get it. When your calendar is empty and the bills are real, beggars can’t be choosers, right? Here’s the thing: that mindset, left unchecked, creates a business that works you to the bone without building toward the business you actually want.

The Real Cost of Taking Every Client

When you say yes to every inquiry, a few things happen. You spend your energy on events and clients that don’t energize you. You end up marketing to a blur of different people and resonating with none of them. You create a portfolio that doesn’t reflect the work you actually want to do.

And perhaps most importantly: the clients you really want, your dream clients, may look at your mixed portfolio and assume you’re not the specialist for them.

Niching Down Is a Revenue Strategy, Not a Limitation

When you specialize, something counterintuitive happens: you become more attractive to your ideal clients, not less attractive overall. You become the obvious choice for a specific type of event or client, and obvious choices command premium fees.

Think about it from a client perspective. If you’re planning a luxury destination wedding, would you hire a generalist or a planner who has made luxury destination events their specialty? The specialist wins almost every time.

What to Do When You’re Just Starting Out

Here’s the nuance that matters: there’s a difference between who you’ll work with and who you publicly promote yourself to. When you’re brand new, it’s completely normal to take a wider range of events to build experience and income.

But even from day one, you should be publicly positioning yourself toward your ideal niche. Your social media, your website copy, your referral asks, all of it should speak to the clients you want to attract.

How to Start Narrowing Down

  • Think about the events that have lit you up most. What type were they?
  • Think about the clients who were the most enjoyable to work with. What did they have in common?
  • Think about the work that generated the best income for the time invested.
  • Look for the overlap, that’s your niche.

One of the biggest fears planners have when choosing a niche is that they’ll miss out on opportunities. In reality, the opposite is usually true. Clarity creates confidence, both for you and for potential clients. When people can immediately understand who you serve and what you’re known for, referrals become easier because others know exactly when to send business your way.

Venues, photographers, caterers, and past clients are far more likely to recommend you when they can clearly describe your specialty. Instead of constantly chasing leads, you begin attracting inquiries that are already aligned with your expertise and style. That means fewer sales calls, fewer mismatched expectations, and more projects that feel rewarding both creatively and financially.

It Will Keep Evolving

Your niche isn’t a life sentence. I’ve been in this business for over 30 years and I’m still refining how I want to work with clients. The point isn’t to get it perfect, it’s to get directional. Pick a lane, serve those clients exceptionally well, and let the results guide you from there.
